Use construction experience and sales skills to prepare estimates for projects assigned and work with customers to successfully negotiate projects bid. For those projects awarded use project management and estimating skills to identify scope changes and assist field personnel in successfully completing projects.

Responsibilities

  • Prepare accurate quantity surveys (take-offs) that are properly labeled and referenced back to the blueprints.
  • Apply established labor production rates to the quantity survey to obtain labor estimate.
  • Apply established material prices, and/or obtain vendor quotes as necessary, to the quantity survey to obtain material estimate.
  • Secure pricing from vendors and subcontractors for new estimates and contracts that have been awarded to RG.
  • Review project estimates with VP Sales and Estimating prior to submitting bids.
  • Negotiate Contracts to close projects bid, work with VP Sales & Estimating and Accounting to establish negotiating parameters and gain assistance.
  • Perform frequent (weekly) sales calls / follow-up on outstanding proposals/bids and inform VP Sales & Estimating with updates. Maintain Bid Logs on a weekly basis.
  • For direct bid opportunities received from customers, Sr. Estimator must communicate that information to the VP of Sales & Estimating immediately so that it can be evaluated and incorporated into the bid schedule.
  • Work to develop and maintain customer relationships (To this end visit 1 active jobsite and/or potential customer every other week).
  • Provide training and coaching to Estimating staff in the form of take-off techniques, material uses and properties, how scopes of work assembled and performed.
  • Assist Estimators in resolution of project specific issues that arise and project management responsibilities.
  • Perform Job Setup activities: Provide VP of Sales & Estimating with completed Estimate Trade Breakdown and supporting QuickBid docs to begin the job setup process. Also email the Estimate Trade Breakdown to the Job Cost Administrator. (Must be completed prior to Job Start-up Meeting and work beginning on site.)
  • Prepare detailed purchase orders for certain materials and subcontracting to be used on the project, provide to the Purchasing Manager.
  • Lead the Submittal Process in determining what materials will be used for a given project in coordination with the General Superintendent and Superintendent. (Must be completed prior to Job Start-up Meeting and work beginning on site.)
  • Perform variety of Project Management activities throughout the lifecycle of your projects: including; material submittals, extra work pricing, preparing Estimate Trade Breakdowns for changes accepted and providing to Job Cost Administrator, work with Superintendent, Foreman, General Superintendent to resolve project issues/opportunities, work with Accounting to resolve Accounts Receivable delinquent balances, assess job cost projections, resolve Accounts Payable and Purchasing questions, perform project closeout activities.
  • Maintain/Update Project Management in Timberline to ensure your Bid Jobs Status is updated as to what is open, budget, lost, dead. Likewise, ensure CORs status is updated along with RFIs and Submittals. All these documents should be created and tracked through project completion within Timberlines Project Management module.
  • Maintain Updated drawings on Plangrid, Bluebeam or other cloud based project application and disseminate to the General Superintendent, Superintendent and Foreman.

Core Competencies

  • Minimum 15 years industry experience.
  • Strong organizational skills and the ability to multi-task.
  • Strong communication skills with customers and fellow employees, need to be able to collaborate.
  • Strong negotiation and bargaining skills.
  • Strong computer skills, ability to use Word, Excel, as well as, good understanding of Windows structure and file sharing.
  • Ability to lead project meetings (scope and job start-up / review meetings)
  • Ability to manage work load to meet deadlines.
  • Ability to review and analyze schedules and determine manpower needs.
  • Ability to use Computer assisted estimating software, Timberline, Quickbid and Onscreen Take-off, Plan-Grid/Bluebeam.
  • Strong management skills; the ability to analyze project performance, problem solving, providing guidance on how project was bid.
  • Team oriented, ability to work with others/collaborate. Do what’s best for the company.
  • Ability to engage customers in a non-work setting and entertain. Ability to act Professionally in both the office and field environments.

Stated Authority Limits

  • Ability to prepare complete bid, but must gain approval from VP Sales & Estimating before submitting to Customer.
  • Ability to negotiate changes on existing projects.
  • Ability to solicit bidding opportunities so long as make VP of Sales & Estimating aware of the opportunity.
  • Ability to assign engineering contractor on a project, but must get written authorization from General Superintendent.
  • Ability to solicit material pricing/subcontractors and negotiate final pricing so long as seeks prior approval from the Purchasing Manager.
  • Ability to negotiate final close-out on a project so long as negotiating parameters are set with the Management Team
  • Ability to negotiate constructability issues with customer so long as consult Operations Team for that project.

Key Performance Indicators

  • Combination of $ value of projects successfully bid and awarded in a given year, as well as, project profitability for those projects upon completion. (Projects awarded to bids submitted ratio)
  • Ability to successfully manage scope changes, keep outstanding open scope changes/extras for a contract to a minimum. Number of projects that go to litigation.
  • Superintendents receive timely information as project issues and scope changes occur.
  • Ability to develop and maintain customer relationships.
  • Ability to learn from past projects and bids, do the same questions come up time and time again.
  • Provide timely project information to Accounting, Superintendents and Foreman.
  • Customer satisfaction as confirmed by others within the company.
  • Maintaining of Bid information in Timberline’s Project Management module via ensuring Bid Jobs are always complete and up to date regarding the information within them.
  • Net Profitability from projects with repeat customers.
  • How do they conduct themselves with interactions with customers and co-workers.
